The Executive Assistant will provide high-level administrative support to the CEO and senior executives. This role requires someone with good organizational skills, the ability to prioritize tasks, and a proactive approach to managing the daily operations of executive functions. The Executive Assistant will handle confidential information with discretion, coordinate schedules, and facilitate communication between executives and internal/external stakeholders. Key Responsibilities:

  • Calendar Management: Organize and manage the executive’s daily schedule, including meetings, travel arrangements, and events.
  • Communication Liaison: Serve as the primary point of contact between the executive and internal/external stakeholders. Handle correspondence, including email management, phone calls, and letters.
  • Meeting Coordination: Schedule and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
  • Travel Management: Arrange travel itineraries, accommodations, and logistics for both domestic and international trips.
  • Document Preparation: Draft, review, and edit reports, presentations, and other documents on behalf of the executive.
  • Project Management: Assist in the management of key company projects, track deadlines, and ensure timely completion of deliverables.
  • Event Coordination: Plan and coordinate company events, meetings, and executive off-site activities.
  • Expense Reporting: Prepare and submit expense reports for the executive and ensure proper documentation and reimbursement.
  • Confidentiality: Maintain confidentiality in all communications and sensitive information.
  • Ad Hoc Tasks: Provide general administrative support and handle special projects as needed.

Qualifications:

  • Experience: No prior experience required
  • Education: Bachelor’s degree in Business Administration or a related field preferred.
  • Skills:
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other project management tools.
  • Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
  • High level of professionalism and discretion in handling confidential information.
  • Attributes:
  • Proactive, detail-oriented, and highly organized.
  • Able to work under pressure and adapt to rapidly changing environments.
  • Strong problem-solving abilities and the capacity to anticipate the executive’s needs.

Salary: Competitive, based on experience. Compensation Range: $30K - $60K
