We’re looking for an Executive Assistant & Business Administrator to support our directors and keep our operations running smoothly. If you’re highly organised, tech-savvy, and passionate about working in a fast-paced, values-led environment, this could be the perfect role for you!

About the Role

As our Executive Assistant & Business Administrator, you will provide high-level support to the directors and manage key administrative functions across the agency. You’ll be responsible for keeping the team organised, managing business operations, and ensuring seamless communication across projects.

Key ResponsibilitiesExecutive Support

  • Manage the directors' calendars, schedule meetings, and coordinate appointments.
  • Prepare reports, presentations, and documents for internal and external meetings.
  • Monitor and prioritise emails, correspondence, and action items.
  • Assist with travel arrangements, event planning, and logistics.

 Business Administration

  • Manage office and remote team operations, ensuring smooth day-to-day workflows.
  • Oversee invoicing, expenses, and financial admin in Xero.
  • Maintain company policies, contracts, and compliance documentation.
  • Support HR functions, including onboarding, timesheets, and team culture initiatives.

 Project & Workflow Management

  • Keep projects on track using Asana, ensuring deadlines and deliverables are met.
  • Facilitate team communication and streamline workflows via Slack.
  • Support the directors with project coordination and task prioritisation.

General Operations Support

  • Liaise with external suppliers, clients, and stakeholders.
  • Help refine internal processes for efficiency and effectiveness.
  • Provide tech support for digital tools and systems used by the team.

About You

  • 2+ years experience in an EA, admin, or operations role (agency experience a plus)
  • Proficiency in Asana, Slack, and Xero
  • Highly organised with excellent time management and attention to detail.
  • Strong written and verbal communication skills.
  • Proactive problem-solver who takes initiative and gets things done.
  • Comfortable working in a fast-paced, dynamic environment.
  • Passionate about social impact, creativity, and purpose-driven work.
