Job Title: Events & Member Services Executive – APAC Region
Location: Melbourne, Victoria, Australia.
Full time / remoteSalary: AU$60-65k plus Super
Reports to: Group Regional Head, APAC
Job Overview:
The Events and Member Services Executive will support the APAC team in the planning, promotion, execution, and delivery of both virtual and in-person events in the APAC region. This role involves working closely with multiple teams to ensure the seamless coordination of events, and marketing campaigns, while also providing exceptional customer service to attendees and members.
Key Responsibilities:1. Event Coordination & Logistics (virtual and in-person)
- Pre-Event Planning: Assist in planning, budgeting, and liaising with venues, suppliers and sponsors or hosts (name tags, catering, AV, seating plans, entertainment, signage, and trophies).
- Speaker & Sponsor Liaison: Invite and confirm speakers for various WorldCC events. Work with the WorldCC team to coordinate speaker arrangements, event agenda, and App management.
- Communicate logistics to sponsors in collaboration with the Event Manager.
- On-Site Support: Assist in the smooth registration process, coordinate event technology for virtual and in-person events and provide exceptional customer experience during events.
- Post-Event Management: Ensure effective post-event communication, including distribution of presentations, feedback gathering, and analysis for event reports.
- In-Person Events: Attend the annual APAC Summit and other events to provide on-site event management and operational support.
2. Member Services
- Provide customer service to attendees and members, including resending links or emails, explaining event apps, handling cancellations and exchanges, and answering questions about APAC WorldCC events and activities.
3. Event Registrations & Delegate Management
- Registration Management: Upload event registrations and ensure clear communication with attendees regarding venue, logistics, and agendas.
- Delegate Lists: Manage and maintain up-to-date attendee lists, ensuring accuracy and availability for event execution.
4. Speaker Preparation
- Assist in preparing speakers for webinars, member meetings, and events, including technical setup, content confirmation, and rehearsal coordination.
5. Marketing & Communication
- Event Calendar Management: Liaise with the WorldCC Team to manage and implement an annual calendar of weekly APAC events/activities to enhance brand awareness and member engagement.
- Event notifications: Upload event details on the website, including sourcing speaker biographies and images, and writing the event description and agenda.
- Content Creation & Management: Develop and champion APAC-specific social media content (primarily LinkedIn), create and distribute APAC event newsletters promoting local events, and execute targeted email marketing campaigns.
- Market Research: Conduct market research and competitor analysis to identify opportunities for event growth and support marketing strategies.
- APAC Event Promotion: Actively promote APAC events to regional members, utilizing various marketing channels to maximize attendance and engagement.
6. Administrative Support
- Event Administration: Handle daily event management tasks, including setting up events on the WorldCC website, managing registrations, liaising with speakers, and amending slide decks.
- General Office Support: Provide general administrative support to the team, including but not limited to, scheduling meetings, managing correspondence, preparing documents, and maintaining records.
- Team Assistance: As needed, support the broader team with miscellaneous tasks, ensure smooth day-to-day operations, and contribute to the overall success of WorldCC’s strategy.
Qualifications:
- Relevant degree or experience in event management or marketing.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Familiarity with social media platforms (actively on LinkedIn a must!) and marketing tools (Canva, HubSpot, Freshdesk).
- Ability to work collaboratively in a team environment.
